Context
The Data Company Summit 2023, hosted by Delphix, brought together industry leaders in Florida and London to explore the future of DevOps test data management. As the lead designer, I managed both locations' event branding and environmental graphics, ensuring a cohesive and impactful visual identity.
The Problem
Designing and executing a large-scale event with tight deadlines, multiple stakeholders, and extensive branding needs across digital and physical spaces was challenging. I needed to create brand consistency while balancing last-minute requests and tight print deadlines, while coordinating with vendors and event teams across two international locations.
The Solution
I developed comprehensive brand guidelines and asset libraries early in the process, which streamlined the workflow. I created scalable templates for digital assets, including email and landing page wireframes, and collaborated closely with tradeshow vendors to ensure high-quality print collateral was delivered on time. Managing every detail—from booth graphics to directional signage—I ensured that the event ran smoothly and met Delphix's brand standards while adapting to the evolving demands of both locations.

Building a Strong Foundation for Event Success: Brand Guidelines
A successful event begins with a solid foundation established by the designer. I invest the time to create brand guidelines and develop the brand assets early on enabling me to move more efficiently throughout larger projects. This preparation ensures I stay on brand and align other designers and collaborators with the visual identity. By laying this groundwork, I can maintain consistency and streamline the process, ultimately leading to a smoother, more successful event launch.
Establishing a Scalable System for Consistent Event Branding
After building the core assets, I create a Creative Cloud (CC) asset library for designers and a Canva library with templates for the marketing team, including email and social media banners. This setup ensures consistent branding across all channels and allows me to delegate tasks efficiently while easily handling more significant assets and last-minute requests.

Landing Page Wireframe Template: Swoogo
After developing the brand kit and receiving content for the event landing page—though this content is often delayed—I start designing the wireframe to meet tight deadlines. Drawing from my extensive experience with event pages, I quickly create modular templates that are flexible and adaptable to various needs. In addition, I design email templates as required, ensuring all event communications remain cohesive and on-brand.
Event Branding and Environmental Graphics
Managing and designing large events involves many moving parts, so agility and adaptability are critical. Once digital assets are finalized, I focus on print graphics, a complex and high-pressure stage due to tight deadlines. Through clear communication with stakeholders, vendors, and printers, I ensure that all specifications are met and visual graphics are created with precision, instilling confidence in the quality of our work.
When I begin working on an event, I request photos of the entire event space, including hallways, rooms for speaker sessions, booths, pop-up banners, and any areas where signage or stickers will be displayed. These visuals serve as a reference, allowing me to design graphics that fully align with the environment and enhance the attendee's experience, ensuring the story flows seamlessly from booth discovery to keynote signups and product engagement.
